Who we are
This Privacy Policy explains how New Generation Dance (“we”, “us”, “our”) collects, uses and protects personal information when you use our website, book classes, or otherwise interact with us. Information we collect
We collect information in the following ways:
- Account information — when you register for an account, we collect your name, email address and password.
- Dancer profiles — to book classes, you provide details about each dancer in your care, including their first and last name, date of birth, emergency contact name and phone number, home address, and any medical notes relevant to their participation (for example, injuries, illnesses or allergies).
- Consent preferences — when adding a dancer, you tell us whether you consent to photos or videos of them being taken during classes or performances for social media and advertising (names are never published alongside these). Separately, when you register your account, you tell us whether you’d like to receive email updates about classes, events and timetable changes — you can change this at any time from your account details.
- Booking and payment information — when you book classes, we record which classes and sessions were booked, for which dancer, and by whom. Payments are processed securely by Stripe; we do not store your full card details on our servers.
- Contact form submissions — if you get in touch via our contact form, we collect whatever information you choose to include (typically your name, email address and message).
- Cookies — our website uses cookies required for core functionality, such as keeping you logged in and remembering the contents of your cart during checkout. See “Cookies” below for more detail.
Information about children
As a dance studio for children and young people, we hold information about dancers that is provided to us by a parent or guardian, not by the child directly. Medical information (such as injuries, illnesses or allergies) is treated as a special category of data under UK data protection law. We collect it only where you choose to provide it, use it only to keep your dancer safe during classes, and share it only with the teacher(s) responsible for that dancer’s class, or in an emergency, with medical professionals.
How we use your information
We use the information we collect to:
- Process and manage your class bookings, including scheduling, attendance and cancellations
- Take payment for classes and issue credits where a class is cancelled
- Contact you about your bookings, including confirmations and cancellation notices
- Keep your dancer safe by giving teachers access to relevant emergency contact and medical information
- Send you updates about classes, events and timetable changes, where you’ve asked us to
- Use photos or videos for social media and promotional purposes, only where you’ve given consent
- Respond to enquiries submitted through our contact form
Cookies
Our website uses cookies set by WordPress and WooCommerce that are necessary for the site to function — for example, keeping items in your cart, remembering that you’re logged in, and protecting forms against spam and abuse. If you select “Remember Me” when logging in, a cookie keeps you logged in for two weeks; otherwise, login cookies last two days. We do not use cookies for third-party advertising or tracking.
Who we share your information with
We do not sell or rent your personal information. We share it only where necessary, with:
- Stripe, to process payments securely. Stripe’s own privacy policy governs how they handle your payment details.
- Our website hosting provider, who stores the data that powers this website.
- Our email delivery service, used to send booking confirmations, cancellation notices and other account-related emails.
- Teachers and staff at New Generation Dance, where relevant to running a class safely (for example, a dancer’s emergency contact or medical notes).
We may also disclose information where required to do so by law.
How long we keep your data
We keep account and dancer information for as long as your account remains active, plus a reasonable period afterwards in case you return. We keep records of bookings and payments for as long as required by law for accounting and tax purposes. You can delete your account yourself at any time from your account details page. This schedules deletion of your account and every dancer profile linked to it after a 30-day grace period — logging back in during those 30 days cancels the deletion. You can also contact us to request deletion sooner, unless we’re required to keep certain records for legal reasons.
Your rights
Under UK data protection law, you have the right to:
- Ask us what personal information we hold about you, and get a copy of it
- Ask us to correct information that’s inaccurate or incomplete
- Ask us to delete your information, subject to our legal obligations to retain certain records
- Withdraw consent at any time — for example, for photo/video use or email updates — without affecting the lawfulness of anything we did before you withdrew it
- Object to, or ask us to restrict, certain uses of your information
- Ask for your information in a portable format
Many of these — like updating a dancer’s details, or changing your photo/video and email consent — can be done directly from your account. For anything else, contact us at SJNewGenerationDance@gmail.com. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you’re unhappy with how we’ve handled your data.
Changes to this policy
We may update this policy from time to time, for example if we start using a new service or our data practices change. We’ll update the date below when we do.
